The internet has changed the way we live our lives. It’s supported knowledge sharing, creativity, innovation and connection. However, like any information storage system, often it is a case of ‘set and forget’, meaning once your ‘Planning for 2013’ page has been published, it will most likely still exist.
What is archiving?
Archiving is the process of selecting, storing and removing content from the live website and from audience view.
The benefits of archiving
We recommend you regularly audit your site every 3-6 months. During this process, you should identify assets (e.g. images, documents, pages and forms) that you no longer need in your site.
By regularly auditing and requesting old content be archived, you will keep your site clutter free and up to date. This will have benefits for both you as a site editor, and your audience.
Why we archive assets
We archive assets when:
• content no longer adds value (old events, incorrect information)
• content is out of date
• a campaign has ended
• duplicate information
• if something is broken or needs a rebuild.
Can I archive my assets?
Although you will see that you have the ability to change your asset status to ‘Archive’, we ask that you submit a Digital Marketing Request for any assets you’d like archived.
We ask you to contact our team, as there are certain steps we need to take to ensure the asset has been archived correct. This includes:
• checking for any links to the asset and removing them to avoid broken links
• moving the asset into our archive space so it is no longer within the site structure.
• ensuring relevant assets, links and redirect measures are implemented prior to archival.
Losing archived content
When you request a page to be archived, we can’t promise it will be able to be brought back if you change your mind. Please keep a stored copy of the content in your files in case you ever need your content.
