As a CMS editor there are a few things that you can and can’t do…
What you can do:
- Upload files (images, PDFs, word documents, etc.)
- Edit the microsite/webpages you’ve been assigned to as an editor. In some cases (depending on your editor permissions) you can also update Task Focused Landing pages (TFLs) and create event/announcement pages.
What you can’t do:
- Archive pages
- Change the name or URL of a webpage
- Add in redirects/reorder pages
- Create vanity URLS or remaps
- Create new webpages/forms
So what happens when you need to do something you can’t do as a web editor? Submit a Digital Marketing Request!
Digital Marketing Requests
Digital Marketing Requests (or DMRs for short) are how the web operations team and the many other marketing teams assign and triage their work requests.
We receive requests from a variety of stakeholders and usually investigate the matter within 1-5 business days subject to the work capacity amongst our team.
Note that if you don’t select a Request Type when creating your DMR the system will not automatically assign it to someone, so it may get lost in the digital abyss. For a rundown of the different request types the web operations team handles, see below.
Types of DMRs
DMR = Website > Content Update
Use this categorisation if you need to make changes to an existing webpage that you don’t have access to. Some of the common uses are:
- Changing the title/URL of a webpage
- Changing the location of a webpage/reorder menu in the side bar.
- Change content/images on pages you don’t have editor permissions for. (If these are major changes, we will need some form of approval from somebody in a relevant position.)
DMR = Website > New page request/New event page
Use this categorisation if you need to create a new webpage or a new event page. Please have a finalised version of your content attached to the DMR. If we require additional information, we will email you through a template to fill out.
Here are a few examples of what the different type of webpages look like:
Standard Page (https://www.latrobe.edu.au/school-life-sciences/research)
Task Focused Landing Page (TFL) (https://www.latrobe.edu.au/school-life-sciences)
Event Page (https://www.latrobe.edu.au/events/all/postgraduate-expo-melbourne-city)
Announcement Page (https://www.latrobe.edu.au/news/articles/2018/opinion/is-this-study-legit)
DMR = Support & Training > CMS Editor Access
If you want to manage another relevant page on the website, you can request to have editor access to that page.
OR
If you’re more the hands-on type of editor, you can ask us to upgrade your editor permissions to allow you to create News announcements or Events pages yourself. Once we have upgraded your permissions, it is advised that you attend the next editor lab so we can walk you through a tutorial on how to build the relevant pages.
DMR = Support & Training > CMS Support (web editors)
If you’re stuck and don’t know what to do/how something specifically works, you can open a ticket and we can look into the problem for you.
Sometimes you can find your answer if you look through the Website user guide available on the intranet. We have step by step instructions on how to make certain changes in the CMS.
DMR = Website > Add / Remove Staff profile
If you have staff that have joined your team and need them to appear onto the staff list, this is the categorisation that you use.
For new staff to be added to a staff list they must first opt in to the feature. This can be done by using the following link: https://intranet.latrobe.edu.au/colleges-and-divisions/support-services-divisions/marketing/digital-engagement-recruitment/staff-listing-opt-in
The Staff list salutation and titles are drawn from the HR system. In order to update this information on the listing you will need to open up a ticket with HR. Please direct affected staff to the following links below.
- For salutations to change the staff member in question would need to update their salutation through HR – please see https://latrobe.service-now.com/hrp?id=kb_article&sys_id=b2fa37f8db7467005fc48a170596197c
Note: To change the Salutation to Dr the staff member will need to provide their PhD to HR.
- For position titles to change the staff member would need to update their job title through HR – please see https://latrobe.service-now.com/hrp?id=kb_article&sys_id=df54b7f4db3467005fc48a17059619bc
DMR = Support & Training > Training EOI
This one is a legacy category for enrolling in training.
